MEETING MINUTES

January 10, 2017

CALL TO ORDER:

The January 2017 Board Meeting of the Northwest Choral Society was held on January 10th, 2017 at First Congregational United Church of Christ, 766 Graceland Ave., Des Plaines, IL.   The meeting was called to order at 6:33 PM by NWCS President Penny Perles.  The following board members were present:

MEETING MINUTES:

  • The meeting minutes from the October 10th meeting were reviewed. The meeting minutes will be updated to refer to “The Saints” not “Ticket Saints” for our December concert, not the June Concert.  Additionally, the spelling of Lou Malnati’s, First Congregational United Church of Christ and Diane’s last name all will be corrected.  David Hitch made a motion to accept the October meeting minutes with the aforementioned corrections.  The motion was seconded by Mary Jane Matecki.

TREASURER’S REPORT:

  • Noreen LaValle presented the treasurer’s report for October 2016.  Cash disbursements totaled $3,522.95.  Cash receipts totaled $12,251.35.  Our regular account now has $26,032.04.  Including petty cash, our final total was $26.067.04.  Mary Jane Matecki made a motion to accept the treasurer’s report.  The motion was seconded by David Hitch.  The motion passed.
  • Noreen LaValle presented the treasurer’s report for November 2016.  Cash disbursements totaled $3,200.35.  Cash receipts totaled $1,783.15.  Our regular account now has $24,614.84.  Including petty cash, our final total was $24,649.84.  Mary Jane Matecki made a motion to accept the treasurer’s report.  The motion was seconded by Diane Szuberla.  The motion passed.
  • Noreen LaValle presented the treasurer’s report for December 2016.  Cash disbursements totaled $4,466.25.  Cash receipts totaled $5,870.69.  Our regular account now has $26,019.28.  Including petty cash, our final total was $26,054.28.  Mary Jane Matecki made a motion to accept the treasurer’s report.  The motion was seconded by Angela Carlson.  The motion passed.
  • The Membership Annual Support Fund raised $4,013 this year.

ARTISTIC DIRECTOR:

  • There will be 20 members in the orchestra for the April 2017 concert
  • The Tenor soloist for the April Concert will be here for 4 rehearsals and will be paid $600.
  • $700-$750 will be needed to pay the instrumentalists (drums, trumpets, ~5 players), for the June concert.  The board decided to transfer money from the soloist section of the budget into the orchestral section of the budget.  
  • The April 2017 concert should be recorded, but it still needs to be determined who will record the concert.
  • The December 2017 concert will be at St. Raymond’s.
  • April 7th, 8th for the Spring 2018 concert.
  • June 9th for the June 2018 concert.
  • A bonus was presented to Alan Wellman

DONATIONS:

  • $80 in donations was received during the December concert and $200 in donations was received after the December concert.

TICKET SALES:

  • For the December 2016 concert, 154 (71 Adults, 83 Seniors/Students) were in attendance despite the snowy weather.  
  • 43 choir members sold 141 tickets, all 4 WFMT free tickets were claimed, 3 Paypal orders, 3 phone orders paid at the door and 3 charge orders through GoPayment (one was a test by Penny) for a total of $4323.41.
  • The bake sale brought in $552.

PUBLICITY:

  • The press release will be sent to Mary Jane Matecki and Kelsey Green for review. 
  • Design suggestions for post cards and posters – Alan Wellman and Kelsey Green

NEW BUSINESS:

  • Martha Conlon will not be returning for the April 2017 concert.
  • Soothe the Soul will rehearse after choir rehearsal on January 10th, 2017.
  • Saturday rehearsal on March 11th possible locations:
    • Brad’s Church: Trinity
    • St. Raymond’s green room
  • Stephanie will be
    asked if she would be willing to write the program notes for all the concerts this year
  • Board Development:
    • David’s sister provided a checklist to help us update our mission, in order to help us see where we need to strength or refresh.
    • Possible Saturday morning meeting to discuss the checklist.
    • David will pursue this further with his sister.
  • 27 people are confirmed to take part in the Windy City Concert.
  • Ideas for membership:
    • Elgin choir has an open rehearsal; perhaps NWCS could do something similar.
    • Summer sing event where everyone brings their own score and performs.

NEXT MEETING:

  • Our next Board Meeting will be Tuesday, March 14th, 2017, at First Congregational United Church of Christ.

ADJOURNMENT:

The Board Meeting was adjourned at 7:29 PM by a motion from Noreen LaValle and a second from David Hitch.  The motion passed.
