MEETING MINUTES
September 10, 2013
CALL TO ORDER:
The September Board Meeting of the Northwest Choral Society was held at St. Martin’s Episcopal Church, 1095 Dempster/Thacker, Des Plaines, IL. The meeting was called to order at 6:31 PM by NWCS Board President Penny Perles. The following board members were present:

MEETING MINUTES:
The meeting minutes of the August 13 board meeting were reviewed and one correction was needed. Under Sunshine Committee, the first sentence should read: “Chris Stukel and Ann Jensen sent flowers to Margie Crichton during her stay at a medical clinic in Colorado”. David Hitch made a motion to accept the corrected minutes. The motion was seconded by John Schindler. The motion passed.
The meeting minutes of the August 20 board meeting were reviewed and no corrections were needed. Mary Jane Matecki made a motion to accept the minutes. The motion was seconded by Kelsey Green. The motion passed.
TREASURER’S REPORT:
Noreen LaValle presented the treasurer’s report for August. Cash disbursements totaled $1,935.00. Cash receipts totaled $927.00. Our regular account balance was $11,566.57. Including the J. Melcher Memorial Fund and petty cash, our final total was $14,618.57. Ruta Veitmanis made a motion to accept the treasurer’s report. David Hitch seconded the motion. The motion passed.
Ruta Veitmanis made a motion to pay Lori Mackie $150.00 for her help with the voice placement sessions. John Schindler seconded the motion. The motion passed. Lori will also be able to accompany us at the Des Plaines Art Festival and the Northwestern Hospital outreach concerts.
David Hitch made a motion to pay Alan Wellman $150.00 for his time with the voice placement sessions. Kelsey Green seconded the motion. The motion passed.
We are paying an annual bank fee to maintain the J. Melcher Memorial Fund as a separate account. Mary Jane Matecki made a motion to merge the J. Melcher Memorial Fund into our regular account, but keep it as a separate item, and to rename it the J. Melcher Memorial Scholarship Fund. David Hitch seconded the motion. The motion passed. Since our fee for this year is paid, Noreen will look into this for next year.
ADVERTISING COMMITTEE:
Greykell Dutton has completed converting all forms for advertisers into electronic format.
DEVELOPMENT COMMITTEE:
David announced that we have received $3000.00 from two corporate sponsors ($1500.00 each).
MEMBERSHIP COMMITTEE:
Greykell announced that Alan has auditioned and accepted five new singers.
FACILITIES:
John stated that St. Martin’s is still reviewing candidates for a new priest.
SUNSHINE COMMITTEE:
Chris Stukel will not be singing this session because she will be doing extra traveling for work. Ann Jensen will continue sending cards to members and Mary Jane will send flowers.
MINNEAPOLIS / ST. PAUL CHOIR TOUR:
An update on the plans and payment information will go out soon. There are still seats available on the bus. (23 people are signed up.)
OLD BUSINESS:
Penny stated that Jerry Borek has accepted the job as our new graphic designer and webmaster. He has begun work on our website. Alan will oversee his work.
We have signed our new contract with St. Martin’s.
NEW BUSINESS:
We have bought the ‘nwchoralsociety.com’ name for five years for $149.70. We will also buy the ‘.org’ name when the contact is due. Our hosting fee for five years will be $269.55.
We are also considering outreach concerts at Lutheran General Hospital and at the Lutheran Home in Arlington Heights. These programs will have to wait until February or March.
In Chris’s absence, Mary Jane will take over planning our Holiday party. Since we have held the event at Little Villa for several years now, she will look for a new venue.
Kelsey will manage our Facebook and Twitter accounts. We also have a Flickr account, but haven’t used it yet.
Rehearsal times and sign up for our four fall outreach programs will be posted during rehearsal evenings.
NEXT MEETING:
Our next Board Meeting will be October 8th, 6:30 PM, before rehearsal at St. Martin’s.
ADJOURNMENT:
The Board Meeting was adjourned at 7:16 PM by a motion from Noreen and a second from Mary Jane. The motion passed.
