MEETING MINUTES
July 11th, 2017
CALL TO ORDER:
The July 2017 Board Meeting of the Northwest Choral Society was held on July 11th, 2017 at the Mount Prospect Public Library, 10 S. Emerson St., Mt Prospect, IL. The meeting was called to order at 6:42 PM by NWCS President Penny Perles. The following board members were present:

MEETING MINUTES:
The meeting minutes from the May 2nd meeting were reviewed and approved with the following changes: Monica Penny’s last name should be corrected and the studio creating the recording for the Hymn of Praise concert is Bomb Shelter Recording Studios. Mary Jane Matecki made a motion to accept the May 2nd meeting minutes with the aforementioned corrections. The motion was seconded by David Hitch. The motion passed.
The meeting minutes from the May 9th meeting were reviewed and approved with the following changes: Noreen ordered Alan’s 3 stone pin. David Hitch made a motion to accept the May 9th meeting minutes with the aforementioned correction. The motion was seconded by Karl Dahlstrom. The motion passed.
The meeting minutes from the Annual Choir meeting were reviewed and approved with no changes needed. Mary Jane Matecki made a motion to accept the Annual Choir meeting minutes. The motion was seconded by Lori Mackie. The motion passed.
The meeting minutes from the June 6th meeting were reviewed and approved with the following change: David Hitch was not in attendance. Lori Mackie made a motion to accept the June 6th meeting minutes with the aforementioned correction. The motion was seconded by Angela Carlson. The motion passed.
TREASURER’S REPORT:
Penny Perles presented the treasurer’s report for May 2017. Cash disbursements totaled $3,574.66. Cash receipts totaled $782.75. Our regular account now has $16,868.42. Including petty cash, our final total was $16,903.42. Mary Jane Matecki made a motion to accept the treasurer’s report. The motion was seconded by Angela Carlson. The motion passed.
Penny Perles presented the treasurer’s report for June 2017. Cash disbursements totaled $5,356.75. Cash receipts totaled $3,640.25. Our regular account now has $15,186.92. Including petty cash, our final total was $15,221.92. Mary Jane Matecki made a motion to accept the treasurer’s report with the following corrections: fix the typo in Matt Jefferson’s name and the restaurant for the June after concert party is Giacomo’s not Gambino’s. The motion was seconded by David Hitch. The motion passed.
BUDGET OVERVIEW:
Mary Jane Matecki presented the Profit & Loss Budget Performance for July 2016 to June 2017.
The board went through each line item of the July 2017 to June 2018 budget and agreed on amounts for the upcoming year. The new budget will be reviewed and approved at the August meeting.
SEARCH COMMITTEE:
The Artistic Director Ad letter and the Duties of the Director were updated by the search committee.
The job posting for a new artistic director was uploaded on the NWCS website, Chorus America and Chicago Artist resource.
The next search committee meeting is next week.
NEW BUSINESS:
Julie will manage the new NWCS Instagram account.
Jade will continue giving her vocal lessons.
Julie Fisher expressed an interest in joining the NWCS board. Karl Dahlstrom made a motion to accept Julie as a new NWCS board member. Diane Szuberla seconded the motion. The motion passed.
The rehearsal schedule for the upcoming year was reviewed.
The March 27th (Easter week) rehearsal was removed.
The December 1st dress rehearsal may need to be moved to accommodate Lori’s schedule.
December Concert – St. Raymond’s
April Concert – Trinity Lutheran
June Concert – South Minster Presbyterian
Lori suggested a possible guest conductor for the December concert.
Will Lea who is the Director of Vocal Music at the Latin School of Chicago
Mary Jane Matecki made a motion to make an offer to Will Lea. David Hitch seconded the motion. The motion passed.
Lori and Penny will review the proposed December concert set list to determine what can be removed in order to decrease the cost of the December concert sheet music.
There will be a Welcome Back/Meet the new guest conductor party September 5th @ 6 PM.
The old handbook should be removed from the NWCS website and the 2016-2017 handbook should be uploaded.

ADJOURNMENT:
The Board Meeting was adjourned at 8:56 PM by a motion from Mary Jane Matecki and a second from David Hitch. The motion passed.
